1 – Introduction

This Privacy Statement covers the personal data processing practices and respect for the rights of data subjects when using iPerfony extranets such as [xxx].iperfony.com, as well as any services, applications or platforms provided by the Perfony company.

This privacy statement is governed by the European GDPR (General Data Protection Regulation).

The Perfony website may contain links to other websites. Perfony is not responsible for the information practices or the content of such other websites. Perfony invites you to review the privacy statements of other websites to understand their information practices.

2 – Security, storage and retention of personal data

Personal and other data are stored in our databases.

Perfony uses some of today’s most advanced Internet security technologies. When you access your iPerfony extranet, all connections are made using Transport Layer Security (TLS) technology, the most secure standard available today.

Your information is protected through server authentication and data encryption (2048 Bits key). All data is encrypted between your computer and our server.

Your data is thus secure and only available to registered users of your company.

In order to isolate each Perfony client company, each iPerfony extranet is isolated and has its own domain name and database. This prevents any data exchange between different iPerfony extranets and increases the level of security.

Perfony provides each user in your company with a unique password and username that he/she must enter each time he/she logs in.

In addition, Perfony is hosted in a secure server environment that uses a firewall and other advanced technologies to prevent interference or access by intruders.

Perfony does not retain personal data beyond the period necessary to achieve the purpose of the processing, while respecting legal and regulatory limits.

If you are a Perfony customer, your data is kept for the duration of the contract, and for 3 years after the end of the contract, unless otherwise provided by law.

3 – Data collected

However, when using an extranet dedicated to the client, in the event of a request for information or the creation of an account, we are likely to collect all or part of the following data:

  • First name and surname

  • Telephone number
  • Company name
  • Postal address
  • Professional information: (position, function, sector of activity)
  • Photos that are attached to avatars
  • Connection data: ID, IP address

In addition, as part of our constant search for improvement and positioning as an observatory of the quality of meetings and action plans, we regularly solicit our users and contacts via surveys.

4 – Use of collected data

The Perfony account is provided to you by an organisation to which you are attached.This organisation may:

  • Control and administer your account.
  • Access and process your data, including the contents of your data, communications and files associated with your account.

If you lose access to your account (e.g. if you change jobs), you will no longer be able to access the data stored in Perfony.

As access to Perfony is granted by your organisation, your use of Perfony is subject to your organisation’s policies. You should direct privacy requests, including requests to exercise your data protection rights, to your organisation’s administrator. Perfony is not responsible for the privacy or security policies or practices of its customers, which may differ from those stated in this privacy statement.

Perfony processes your personal data to make the product available to you and your organisation and in some cases for Perfony’s legitimate business operations in connection with the provision of the product.

Perfony will use your Navigational Information for the purpose of operating and improving the application.

5 – Cookies and IP addresses

Perfony uses cookies to facilitate your interactions with the Application and to make it relevant. When you use the web application, Perfony’s servers send a cookie to your computer.Perfony uses two cookies on your computer :

  • A session cookie to keep your session active while you use the application.
  • An analytics cookie (to the analytics.perfony.com server) used to analyse and improve the application.

When you visit your Perfony extranet, we collect your IP address to track and summarize non-personal information. For example, Perfony uses IP addresses to monitor the regions from which users browse the application.

6 – Sharing of personal data

In strict compliance with the fundamentals of Article 2 of this statement (Security), and except as explicitly stated in this Privacy Statement, Perfony will not share, sell, rent, or otherwise market information provided by third-party companies for their promotional purposes.

In addition, you can always withdraw your consent for us to use and disclose your personal data for certain purposes. Perfony reserves the right to use or disclose the information provided if required to do so by law or if the Company reasonably believes that the use or disclosure is necessary to protect its rights and/or comply with legal process or a court order.

7 – Access to personal data

Our customers may update or modify their subscription information by editing their user or company registration. To update a user profile or your company information, log into your extranet with your Perfony password and username and click on “Preferences”.

8 – Data Protection Officer (DPO) and changes to the privacy statement

Perfony reserves the right to modify this Privacy Statement. Perfony will notify you of material changes to this Privacy Statement through the Company’s websites at least thirty (30) business days before the change takes effect.

Perfony has appointed a Data Protection Officer (DPO) whose role is to ensure Perfony’s compliance with the GDPR

The DPO is provided with the organisational measures and resources to enable him/her to carry out his/her duties.
