1 – Introduction

This Privacy Statement covers practices regarding the processing of personal data and the respect for the rights of data subjects in connection with the use of iPerfony extranets of the form [xxx].iperfony.com, as well as all services, applications, or platforms provided by Perfony.`

The protection of personal data is ensured in accordance with the General Data Protection Regulation (GDPR) and the French “Informatique et Libertés” Act. When Perfony’s features utilize artificial intelligence systems, Perfony also complies with the applicable requirements of Regulation (EU) 2024/1689 on artificial intelligence (“AI Act”), particularly with regard to transparency and user information.

The Perfony website may contain links to other websites. Under no circumstances shall Perfony be held liable for the information practices or content of such other websites. Perfony encourages you to review the privacy policies of other websites to understand their information practices.

2 – Security, storage and retention of personal data

Personal and other data are stored in our databases. Perfony uses some of the most advanced Internet security technologies available today. When you access your iPerfony extranet, all connections are made using Transport Layer Security (TLS) technology, which is currently the most secure standard.

Your information is protected through server authentication and data encryption (2048-bit key). All data is encrypted as it travels between your computer and our server.

Your data is secure and available only to registered users of your company.

To ensure that each of Perfony’s client companies is isolated, each iPerfony extranet is self-contained and has its own domain name and database. This prevents any data exchange between different iPerfony extranets and enhances security.

Perfony provides each user in your company with a unique password and username that they must enter every time they log in.

In addition, Perfony is hosted in a secure server environment that uses a firewall and other advanced technologies to prevent interference or unauthorized access.

Perfony does not retain personal data beyond the period necessary to achieve the purpose of the processing, while complying with legal and regulatory requirements.

If you are a Perfony customer, your data will be retained for the duration of the contract and for 3 years after its expiration, unless otherwise required by law.

3 – Data collected

On the other hand, in the context of the use of an extranet dedicated to the customer, in case of request for information or creation of an account, we are likely to collect all or part of the following data:

• First Name and Last Name
• Email address
• Phone number
• Company name
• Mailing address
• Professional information: (job title, position, industry)
• Photos attached to avatars
• Login information: ID, IP address

In addition, as part of our constant search for improvement and positioning as an observatory of the quality of meetings and action plans, we regularly solicit our users and contacts via surveys.

4 – Artificial Intelligence and Data Processing

Some of Perfony’s features may use artificial intelligence services or allow Perfony to connect to third-party AI assistants.

Depending on the feature used, certain data may be processed by Perfony or transmitted to the relevant technology providers, in accordance with applicable access rights, security measures, and data protection rules.

5 – Use of Collected Data

Your Perfony account is provided by an organization to which you belong. This organization may:

• Manage and administer your account.
• Access and process your data, including the content of your data, communications, and files associated with your account.

If you lose access to your account (for example, if your job changes), you will no longer be able to access the data stored in Perfony.

Since your organization has granted you access to Perfony, your use of Perfony is subject to your organization’s policies. You must send your privacy-related requests—including requests to exercise your data protection rights—to your organization’s administrator. Perfony is not responsible for its customers’ privacy or security policies or practices, which may differ from those set forth in this Privacy Statement.

Perfony processes your personal data to make the product available to you and your organization, and in certain cases for Perfony’s legitimate business purposes related to making the product available.

Perfony will use your browsing information to operate and improve the app.

6 – Cookies and IP Addresses

Perfony uses cookies to facilitate your interactions with the application and to ensure its relevance. When you use the web application, Perfony’s servers send a cookie to your computer. Perfony uses two cookies on its web application:

• A session cookie that keeps your session active while you are using the app.
• An analytics cookie (sent to the server analytics.perfony.com) used to analyze and improve the app.

When you visit your Perfony extranet, we collect your IP address to track and aggregate non-personal information. For example, Perfony uses IP addresses to monitor the regions from which users access the application.

7 – Sharing of Personal Data

In strict compliance with the principles set forth in Article 2 of this Declaration (Security), and unless otherwise explicitly stated in this Privacy Statement, Perfony will under no circumstances share, sell, rent, or market information provided by third-party companies for their promotional purposes.

In addition, you may withdraw your consent to our use and disclosure of your personal data for certain purposes at any time. Our customers may update or modify their subscription information by editing their user or company profile.
